From the moment you book, your planner is a trusted resource—offering guidance, recommendations, and a steady hand as your plans take shape. You’ll make the fun decisions: choosing your vendors, dreaming up the details, and creating a celebration that feels entirely your own. Then, 90 days before your wedding, they take the reins—bringing your vendors, timeline, logistics, and all those carefully chosen details together into one beautifully orchestrated celebration.

Consultation Upon Booking

Your planner will meet with you to understand your vision, answer questions, review The Hawthorn’s planning guide, and help shape the overall experience.

They’ll then continue to serve as a trusted resource to answer questions as you make decisions and assemble your vendor team.

Full Logistical Management 90 Days Out

Approximately 90 days before your wedding, your planner becomes the primary point of contact for your vendors and begins translating months of ideas and decisions into one cohesive event plan.

Your planner will:

Gather and maintain all vendor contact information
Share The Hawthorn’s venue guidelines and logistical requirements with each vendor
Confirm key planning details, anticipated guest count, and outstanding decisions
Create detailed ceremony and reception floor plans
Plan room flow, décor placement, and setup requirements
Coordinate rental orders, delivery schedules, installation, and pickup
Finalize bar selections and signature cocktails with you and The Hawthorn
Coordinate catering setup, service flow, timing, and breakdown
Confirm vendor arrival times, load-in plans, setup needs, and departure schedules
Attend and lead the final venue walkthrough with you, your caterer, and The Hawthorn team
Document decisions made during the walkthrough and distribute clear follow-up notes
Finalize and submit your guest count and approved floor plan
Collect required Certificates of Insurance and final vendor documentation

A Master Wedding Timeline

A successful wedding day depends on far more than knowing when dinner will be served. Your planner creates one comprehensive master timeline that keeps every person and every moving piece aligned.

The timeline may include:

Ceremony timing and processional
Photography schedules
Wedding-party and family logistics
Transportation
Vendor arrivals and setup
Cocktail hour and reception transitions
Catering and bar service
Introductions, speeches, dances, and formalities
Entertainment cues

Once finalized, the timeline and logistical plan are distributed to The Hawthorn and all participating vendors so everyone is working from the same playbook.

Ceremony Rehearsal

Your planner will schedule and lead the ceremony rehearsal, giving everyone the confidence to know where to be, what to do, and when to do it. This includes:

Organizing the wedding party, officiant, and immediate family
Reviewing the processional and recessional order
Practicing ceremony timing and cues
Clarifying responsibilities and answering last-minute questions
Helping everyone feel prepared and comfortable before the wedding day

Wedding-Day Leadership

On your wedding day, your planner becomes the person everyone turns to—so they do not have to turn to you.

Serve as the primary contact for you, your wedding party, immediate family, and vendors
Welcome vendors and oversee arrivals, load-in, setup, and rental deliveries
Coordinate venue setup alongside The Hawthorn team
Confirm that the approved floor plan and timeline are followed
Style and place client-provided décor and personal details
Arrange signage, menus, candles, favors, seating displays, and decorative elements
Coordinate linen placement and rental setup
Assist you and your wedding party with attire, personal belongings, and day-of needs
Organize the officiant, musicians, family members, and wedding party before the ceremony
Cue the processional and manage ceremony timing
Oversee the transition into cocktail hour and the reception
Coordinate the room flip with The Hawthorn team, when applicable
Troubleshoot quietly and make real-time adjustments without involving you
Keep the celebration moving naturally from one moment to the next
